Invite and manage Workspace Members

Invite Admins or Members, accept and manage Workspace access, and follow the ownership safeguards and collaboration limits of the free beta.

A Workspace Owner or Admin can invite collaborators as Admins or Members. Before choosing a role, review the Workspace role permissions and the free-beta limits.

Invite Admins or Members

  1. Open Workspace access

In PointWarden, switch to the Workspace you want to manage and open Workspace.

  2. Choose the access level

Choose Admin or Member and enter the User's verified email address.

  3. Send the invitation

Choose Send invitation. The invitation link is single-use and expires seven days after it is sent. It only works for the verified email address that received it.

  4. Manage a pending invitation

Choose Resend when the recipient needs a fresh link. Resending revokes the previous link and issues a new seven-day invitation.

Choose Revoke to prevent the current link from being used. Revoke a pending invitation when it should no longer be accepted.

Accept an invitation

  1. Open the invitation link within seven days. If you are signed out, sign in or create a verified User with the invited email address.
  2. Confirm the Workspace name and role, then choose Accept invitation. A signed-in User whose verified email does not match the invitation cannot accept it.
  3. In PointWarden, open Switch Workspace and select the Workspace you joined. The selected Workspace becomes the active Workspace for its Monitors, Notifiers, evidence, and membership.

Acceptance stops if the Workspace already has three Workspace Members or if joining would put the User above five invited Workspaces. Ask the Owner or an Admin to resolve the relevant limit before trying again.

Manage Workspace Members

Owners and Admins can invite, remove, and change the roles of non-Owner Workspace Members. A Member can view operational data and run Manual Checks, but cannot change membership, Monitors, or Notifiers.

The Owner is the only Workspace Member who can transfer ownership or delete the Workspace. An Admin can manage non-Owner membership but cannot promote someone to Owner directly.

Leave a non-Personal Workspace

  1. Use Switch Workspace to open the non-Personal Workspace you want to leave.
  2. Open Workspace, then choose Leave Workspace. You immediately lose access to that Workspace.
  3. PointWarden returns you to your Personal Workspace. Use Switch Workspace when you need to open another Workspace you still belong to.

Ownership safeguards

A User cannot leave their Personal Workspace. Its original User remains its Owner, and its ownership cannot be transferred.

The Owner of a non-Personal Workspace cannot leave while they still own it. The current Owner may transfer ownership to an existing Admin; the former Owner can then leave as a non-Owner Workspace Member. Admins and Members cannot transfer ownership or delete the Workspace.
